Experienced Administrative Assistant

Grand Homes is recruiting for an experienced Administrative Assistant who will assist the Human Resource Manager and in-house lawyer. The day-to-day duties include drafting letters, calendaring deadlines, tracking attendance and the return of various documents, scheduling/preparing for/conducting new hire orientations, assisting on various tasks and projects, and filing.

Work Schedule: 40-hour work week, 8 am – 5 pm, Monday – Friday in our Corporate Office located in Addison, TX. This is not a remote position.

Responsibilities include, but are not limited to:
• Drafting Letters
• Calendaring Deadlines
• Locate and Develop case relevant information
• Preparing and Organizing Files
• Handle communications with clients
• Provide administrative support to the in-house lawyer
• Work on special projects, as assigned and directed
• Collecting the Mail every day
• Schedule, Prepare, and Conduct New Hire Orientations
• Respond to Employee Questions, if answer is not known, get answer from appropriate source
• Update monthly org charts, reports, and update the company intranet
• Track and follow up on tasks & documents until returned and completed
• Sort and Distribute Payroll Checks
• Mail out various documents
• Respond to employment verifications
• Assist with scheduling and conducting annual benefit meetings and enrollments
• Provide administrative support to the HR Manager
• Record approved time off requests
• Act as a backup for the receptionist
• Work on other projects or tasks, as assigned

• 3-5 years of experience in an administrative or executive assistant function
• Direct experience working as an Administrative or Executive Assistant
• Bachelor’s degree Preferred

Skills/ Abilities:
• Ability to communicate and handle sensitive and confidential information with discretion
• High level of personal integrity and professionalism
• Proficiency in Microsoft Office Suite, especially Outlook, Word, Excel and PowerPoint, with the ability to prepare detailed reports, create presentations and efficiently manage correspondence and calendar(s)
• Ability to produce reports and complete reports within deadlines
• Ability to communicate effectively and efficiently, both verbally and written, with all employee levels, including managers, directors and C-Level.
• Ability to adapt and respond effectively and promptly to changing situations and conditions
• Strong initiative and ability to independently seek out information in a timely manner
• Strong attention to detail
• Ability to work both independently and collaboratively
• Highly organized with the ability to handle multiple projects and deadlines
• Positive and welcoming personality
• Cooperative and willing to work with others
• Ability to work and thrive in a fast-paced environment
• Must be Punctual and Reliable
• Ability to demonstrate professionalism in their demeanor, appearance, and communication
